Getting Started

This is a step by step guide to help you set up your account on Hotel Mate for your hotel.

Once you have registered with Hotel Mate you will receive a link via email that has brought you to this page to activate your account.

On your left you will see a link to download our marketing brochure, which you can take to your printers and choose from a selection of marketing material to print and display in your hotel.

How to Login

1. Add a username and password for your account.

2. Download the marketing brochure which you can send to your printers. This will provide you with a selection of promotional material to advertise Hotel Mate in your Hotel.

3. Visit the Hotel Mate website for support, contact details and FAQ’s.

Update Hotel Profile

1. In Menu bar select manage profile details.

2. Add the Hotel’s profile details and then choose the languages you would like to add to your app from the choices available.

3. Press update.

Manage Hotel Gallery

1. In Menu bar select Manage Gallery.

2. Drag and drop images into the box provided. You can do this individually or drag all images at once.

3. Press submit.

1. View gallery thumbnail.

2. View the date the image was uploaded.

3. View larger image.

4. Delete this image.

5. Upload more images.

Hotel Manage Banner

1. In Menu bar select Manage Banner.

2. Drag and Drop images into the box provided. Individually or all at once.

3. Press submit.

3. If you like, you can add a caption to the image.
4. Date image was uploaded.
5. View image.

Hotel Profile

1. Select My Profile from the drop down at the top right of the page.
2. Add Hotel data.
3. Activate or deactivate Hotel enquiries.
4. Select the Hotel amenities that you have to offer.

1. Add your Social Media links.
2. Add Hotel logos (size guide is provided.)
3. Save your changes.

1. Select the location tab.
2. Type in your Hotel name and select the correct address from the drop down.
3. Press submit.

Manage CMS

Here we have provided a CMS area where you are able to provide anyone who is connected to you with the information that you would like them to be aware of.

Example:

Wi-Fi code, check in – check out times, meal times and so much more!

 

1. Select manage CMS from the menu bar.
2. Select a heading for that page.
3. Add images for that page.
4. Add the languages you would like. (If languages are not added, default will be English)
5. Submit.

User Management

 

1. Select user management from menu bar.
2. Everyone that has accepted to connect with your Hotel through Hotel Mate will register and you will collect their names.
3. Everyone that has accepted to connect with your Hotel through Hotel Mate will register and you will collect their email addresses.
4. This data can be exported through the control panel.
5. Clients will have to accept terms and conditions to login through Google, Facebook or register an account.

Once they have registered they will be able to have access to all the features of Hotel Mate.

Manage News / Offers and Events

 

After selecting the manage News / Offers / Events Tab, click on add news.

1. Add news / offers / events title.
2. Add news description.
3. Add notification message.
4. Schedule the news / offers / events for the Hotel (Example; you may have the same event every Thursday throughout the season so you would add from the start of the season until the end every Thursday we have a Greek Night.)
5. Schedule time.
6. Add a ‘click here for more text’.
7. Here you can add a URL to a page within your web site.
8. Add image to promote the news item.
9. Here you have two choices. Publish and notify which will immediately send the notification out to all guests connected to your hotel. Or Publish on Schedule date which will publish the news on the date selected in step 4 but will not send out a notification to your guest, and will not appear on your app until the scheduled date.

Manage Feedback

Here you can add the feedback subjects that you would like your clients to fill in, on a star rating.

  1. Go to menu bar and select feedback questions.
  2. Add the questions that you would like to be rated on.
  3. Here you can edit any questions you may have added.

Manage Feedback Results

Here you can view the feedback results that have been filled in and sent to you.

  1. You will see the ratings and then act accordingly. For example, if you have received a bad rating you can contact the guest before they go to web travel sites.

Publish and Approve Feedback Results

Here you can chose what to publish and approve.

  1. Publish and approve feedback results sent to you so everyone connected can view.

Manage Enquiry

Here you can manage any enquiries that you may like. Add a subject and guests, whether in or out of the hotel, can communicate regarding the services that you offer.

This feature can also be deactivated if it’s not required.

  1. Add a subject that your clients can make an enquiry for and make sure you add the times that replies can be sent.
  2. The dash board helps you view your enquiry subjects and you can add as you wish.

Here you can manage any enquiries that you may like and also reply to your guest.

This feature can also be deactivated if not required.

  1. Here you will see the question that you have been asked.
  2. Here you can reply direct to the guest that has made an enquiry.
  3. Here you can view the whole enquiry.

Registering with Hotel Mate

When you register with Hotel Mate you are also given the option to add your suppliers for Car Hire, Transfers, Taxi services and places to visit when staying with you.
